  • Define Your Clients Priorities

    Train your team to ask the right questions early on.What matters most to this couple? Is it the food, the music, or maybe the florist? Knowing their priorities helps them both focus on their search and budget. Make notes, to help keep them focused, ask them to buy a planner, write everything down and keep it handy for quick reference.


    Support Budget Conversations

    Vendors come in all price ranges. Venues can gently guide couples towards realistic vendor expectations. Setting a budget early on will help them to narrow down options and avoid surprises. This is very important and it saves you and them both so much time. Offering sample budgets or curated vendor tiers helps clients feel empowered and avoid sticker shock- while positioning your team as thoughtful and transparent. Do curate and maintain a list of vetted professionals- florists, DJ's. caterers, planners-who consistently deliver.


    Research and Gather Recommendations

    It is so important as a venue that you guide them with trusted vendor suggestions. If you are a new venue, do not worry you will build a vendor list!

    Online reviews and portfolios are great resources. Make phone calls to bakers, D.J's, decor companies, photographers. Meet them in person when you can.


    Schedule Consultations

    Meeting vendors in person or virtually lets you get a feel for their personality and professionalism. Don’t hesitate to ask questions! Do three way Zooms if you cant meet in person.


    Review Contracts Carefully

    While venues do not manage vendor contracts, your team can remind clients to review key details.

    As a venue professional, make sure your clients understand what’s included in contracts, such as cancellation policies, payment schedules, set- up logistics, clean-up fee's, also be sure to remind them to ask about refunds. Unfortunately, I have seen vendors not deliver the contracted services.

Review their portfolio and ask about their experience with weddings similar to your clients. Make sure your clients have a connection with their photographer, if they don't it will show up in the photographs.


Caterers

Taste tests are a must! Make sure they can accommodate any dietary needs and that their style fits the event - from formal dinners to casual buffets, look at their reviews and ask how many years they have been catering


Florists

Share your color palette and theme. A great florist will listen and offer creative ideas to enhance your clients vision. They can also save your client money with their budgeting tips (always ask) choose seasonal flowers!


Entertainment

Whether it’s a DJ or live band, ask about their playlist, equipment, and how they handle requests or special moments. Ask if they engage with the wedding party ( don't want no party kill joys!

When browsing online, keep these tips in mind:


  • Look for vendors with consistent positive feedback.

  • Check if they have experience with weddings similar in size and style to yours.

  • Use social media to see recent work and client interactions.

  • Don’t hesitate to reach out with questions before booking.


Using these resources smartly can save you time and help you connect with vendors who truly understand your vision.

  • Schedule regular check-ins leading up to the wedding.( These are very important) I once had a couple who hired a D.J. who was inconsistent in returning calls, sure enough he was late for the wedding and was unloading equipment during the reception)

  • Provide clear timelines and expectations. (Always!)

  • Make sure your clients are honest about their budget and any limitations. ( it will save you time)

  • Show appreciation for the vendors hard work, it will build relationships that last decades and get you referrals!


When you treat your vendors as collaborators, you create a positive atmosphere that reflects in their work. Plus, it makes the planning process more enjoyable for everyone involved.
